PROCESS and Milestones

The process of preparing your contribution for ICTERI is multi-phase and encapsulates several interrelated activities scheduled by deadlines and achieving the respective milestones. The phases and milestones are described in this page below.

Preparatory Phase

The Preparatory phase is for elaborating the contribution draft which you aim to present at ICTERI and publish in the volume of its proceedings. A contribution may be:

  • A paper for the Main ICTERI conference
  • A paper for one of the ICTERI workshops
  • A workshop proposal
  • A paper for the ICTERI PhD Symposium
  • A poster presentation or demo

The requirements for each of the listed cases are communicated via the respective ICTERI Calls:

  • The Call for Papers – for the papers targeted at the Main Conference. Please check the Call page for the details.
  • The Call for Papers by a co-located Workshop. These calls are published separately by the organizers of the workshop you have chosen. The pages related to the workshops are referenced from the WORKSHOPS page (also accessiblle from the PROGRAM menu).
  • The Call for Workshops – for the proposals of a Workshop to be organized as a  satellite event at ICTERI. Please check the Call page for the details.
  • The Call for PhD Symposium Papers – for the papers targeted at the PhD Symposium. Please check the Call page for the details.
  • The Call for Posters and Demos – for the poster presentations or software demonstrations targeted at the Poster and Demo Session. Please check the Call Call page for the details.

Please check the conference web site after the deadlines for publishing the Calls of your interest to get the call information. This information is also published via several other distribution channels – listed at the Community page.

The Preparatory Phase ends on the Submission Deadline of a respective Call.

Milestones:

The Preparatory Phase is accomplished for the author after she or he has submitted their paper in response to the chosen Call. Below we provide the quick links to the pages explaining:

Review Phase

The Review phase which is performed by the members of the Conference Program Committee (PC) and managed by the Program Committee Chairs. This phase results in the ranked list of submissions in each category, with the rank based on the grounded evaluations of the papers according to the specified Evaluation Criteria. Only the best submissions, which have received positive evaluations by the Program Committee members, are accepted to be presented at the conference and published in the conference proceedings. The decision on accepting or rejecting papers is taken by the Program Committee Chairs. This phase is accomplished by the Acceptance Notification deadline for the respective Call. This phase is the major quality filter of the conference which allows to create a high-quality and attractive scientific and technical program.

Please be reminded that the evaluation criteria and allowed paper types for the satellite events of ICTERI 2023 may differ from those of the Main ICTERI 2023 conference. Please check the respective Calls (for Workshop Papers, PhD Symposium Papers, or Posters and Demos) for the details.

Milestones:

The Review Phase is accomplished for the author after she or he has received the email message from the EasyChair system notifying about the acceptance or rejection of their draft contribution submitted in the previous phase. This message also contains the reviews by the ICTERI 2023 PC members.

Camera-Ready Preparation Phase

The next phase – Camera-Ready Preparation – is for preparing the final versions of the accepted papers for their publication in the conference proceedings. The phase is started by sending an email to the correspondent authors of all accepted papers informing them on how to prepare and submit their final version. It is expected by the Program Committee, that the authors of the accepted papers carefully review all the comments and suggestions provided in the review reports. It is therefore expected that the papers are refined as much as it is possible based on these recommendations. The authors of the refined final versions are obliged to submit their papers in a camera-ready form by the Camera-Ready Submission deadline. Otherwise their papers will be excluded from the program and proceedings volume. They also submit a filled in License to Publish (Copyright Transfer) Form – thus permitting the volume editors to publish their material on their behalf.  By submitting their final version, the authors also confirm that they obey to attend the conference and present their paper in the session for which the paper is scheduled. It is therefore supposed, that at least one of the authors of an accepted paper has registered as the participant of ICTERI before submitting the final version.

Milestones:

The Camera-Ready Preparation Phase is accomplished for the author after she or he:

  • Has submitted their final version of the accepted contribution as instructed
  • Has submitted their copyright transfer form as instructed
  • At least one of the paper authors has registered at ICTERI 2023

Presentation Preparation Phase

The subsequent phase – Presentation Preparation – is for preparing the presentation materials for the conference. ICTERI requires that the presentation slide sets are submitted to the Conference program section in the EasyChair before the Registration deadline. The instructions on how to submit presentation slide sets will be communicated by the Conference Chairs at the beginning of the Camera-Ready Preparation phase.

Milestones:

The Presentation Preparation Phase is accomplished for the author after she or he:

  • Has submitted their draft version of the presentation slides for the accepted contribution as instructed
  • Has refined the presentation slide set if the recommendations of the Presentations Chair are communicated back by email
